Government Enterprise

From $3,000 / year

For a citywide operating model.

  • Document publishing and AI form generation
  • AI minutes from audio and video
  • Website accessibility progress tracking
  • Standard onboarding session and product support
Pricing principle: Enterprise combines four product capabilities with a predictable page allowance. Existing documents and new content share the same allowance. Hands-on implementation and accessibility expertise are optional services with agreed scope.

Straightforward page-based pricing

Start with the pages the city wants to convert.

A website inventory estimates the opportunity. The city chooses the pages to convert this year, then adds its expected new publishing.

Annual Enterprise subscription$3,000 / year

All four Enterprise capabilities, one website, standard onboarding, and 6,000 conversion pages each year.

Additional agreed capacity$0.25 / additional page

Existing documents and new content share one annual allowance. No separate archive conversion charge.

Optional annual services
  • $1,200 per additional website
  • $3,000 for SSO / SAML
  • $5,000 for priority SLA and named coverage
  • $3,000 for continuing expert review
Optional one-time services
  • Hands-on implementation from $1,500
  • Expert review and design setup: $2,500
  • Custom integration, hands-on migration, and specialized remediation quoted separately
PagesCount pages inside documents, not PDF files
OnceCount identical duplicates once
SharedOne allowance for archive and new pages
AgreedConfirm extra capacity before processing
A predictable page allowance. This proposal prices the agreed document conversion scope in pages. Internal AI processing efficiency does not reduce the agreed page allowance. Review representative scanned and complex documents before quoting; any specialist work or human review is scoped separately.
Example: archive conversion, then ongoing publishing

Year one: $7,500. 20,000 existing pages + 4,000 new pages = 24,000 pages. $3,000 base + 18,000 additional pages × $0.25.

Following year: $3,000. With the archive complete, 4,000 new pages fit inside the 6,000-page allowance. No optional services in this example; completed conversions are not charged again simply because they remain published.

Optional services to co-sell

Add accessibility expertise where the city needs it.

The Enterprise subscription provides the platform. Expert services provide an agreed amount of personal review and design guidance.

One-time engagement

Accessibility review & design setup

$2,500 one-time

  • Up to 10 expert hours
  • Review of agreed conversion samples
  • A style guide and reusable layout recommendations
  • Handoff to the city’s publishing team
Ongoing engagement

Continuing expert review

$3,000 / year

  • Up to 12 expert hours each year
  • Scheduled reviews of selected outputs
  • Recommendations for content and layout improvements
  • Guidance as the publishing workflow evolves
Agree the review scope before work begins. These are proposed service allowances and prices, subject to expert availability and delivery-cost validation. Selected-output review does not imply review of every conversion or the entire website. Additional review and remediation are separately scoped.

Proposed scope

Pages cover agreed document conversion work. Included usage limits for forms, meeting processing, and monitoring are agreed before quoting. Human review and custom work are optional. Review representative documents before the final quote.

The optional 30-day guided pilot costs $1,200, applied toward the first annual subscription upon rollout. Its converted pages count toward that year’s allowance. Displayed totals exclude the separate pilot payment and its invoice adjustment.

First year = annual base + additional pages + selected annual services + selected one-time services. The following-year estimate excludes completed archive conversions and one-time services. USD, before applicable taxes. Public views of completed pages remain unlimited.

Choose the operating motion before discussing economics

Partner models differ by who introduces, sells, contracts, supports, and owns the relationship.

Referral

Warm introduction

FileToWeb runs the sales cycle and direct customer relationship.

Reseller

Partner-led contract

ProudCity contracts and bills; normally requires first-line support and deeper enablement.

Embedded / OEM

Packaged offer

FileToWeb is bundled inside ProudCity’s offer, with the highest integration and control.

Starting hypothesisEmbedded activation + co-sell operating model

Validate city demand, sales impact, lead ownership, product accountability, and support burden before fixing long-term commercial terms.

Design questions: ideal customer profile · enablement · lead registration · account ownership · support · renewal · shared success metrics

Prove distribution before fixing the commercial model

Use a bounded 90-day launch to measure city adoption and ProudCity sales impact.

Weeks 1–2

Define the operating model

  • Agree the target city profile and page / feature allowances
  • Demonstrate all four Enterprise capabilities
  • Set lead registration and account rules
  • Validate expert costs, support, and review scope
Weeks 3–6

Activate the installed base

  • Select 10 candidate municipalities
  • Keep the existing five accounts as-is
  • Add a trial / launch path
  • Run one joint customer webinar
Weeks 7–12

Test net-new selling

  • Attach FileToWeb to 3–5 website proposals
  • Run three guided pilots or Enterprise discoveries
  • Track proposal and sales-cycle impact
  • Review lessons and refine the playbook
Success metricsActivations · paid conversions · Enterprise opportunities · proposal attach rate · win rate · sales-cycle impact · support hours

Proposed next step

Agree on the 90-day test—not the permanent economics.

Start with embedded activation and coordinated co-selling. Preserve direct city feedback. Measure whether FileToWeb helps ProudCity activate more existing customers, strengthen proposals, and win more net-new website relationships.
