Event Costs: The cost of events is determined by the number of employees participating, including invited guests, where deemed appropriate. The costs may be paid for with city funds as limited by annual appropriations of Council, contributions by employees, or a combination of both. The total cost of any single event is determined by the number of people participating, but is limited to $300, unless otherwise approved in writing by the city manager.

Number of Events: The number of events is limited to three per year for the organization as a whole, and three per year for each of the four departments including Administration (Finance, Personnel and Planning & Zoning), Public Safety, Public Works/Engineering and Leisure Services. Additional events may be conducted but only after written approval is granted by the city manager.

Gifts: Some events involve only the purchase of food and drinks, while some events also include the purchase of gifts. Events such as the bi-annual employee recognition luncheons and retirement luncheons, as examples, include the presentation of gifts. Annual expenditures on gifts must be limited to the dollar amounts appropriated by Council for Employee Recognition. Expenditures on gifts shall not exceed $300 per individual gift, unless otherwise approved in writing by the city manager.

Oakwood Municipal Court (“Court”): While the Court is recognized as an independent body from the city government and is under the jurisdiction of the Municipal Court Judge, it is subject to the provisions of this policy, except that the Municipal Court Judge is the approving authority for conducting and paying for events utilizing Council-appropriated funds within the Court’s budget.
