an informal or formal meeting with the landowners affected and explain the process. Until they get out there with boots on the ground, we’re kind of up in the air. Mr. Bothel stated so this $49,000 basically does the ground survey work, determining the watershed, and all that, correct? Mr. Hamilton stated this delineates the watershed and is the total design for the reconstruction, including a repair report. It’s everything to get to the point of deciding to begin construction. Mr. Whitehead stated I agree with not getting in too big a hurry and making sure this reconstruction goes as it should and we touch all bases. Mr. Christy stated I’d just like to see a rep come to our meetings and answer questions before we get to far. Mr. Hamilton stated would you like to wait to approve the task order until you have those questions answered? Mr. Christy moved to table approval of task order number one from Lochmueller. Motion seconded by Mr. Hamilton. Motion passed 4-0. Mr. Borchers stated I will reach out to both firms and ask a representative to attend.
Racer Ditch Claim
Mr. Borchers stated I went out yesterday to the racer ditch. This is the one that's been an ongoing issue. The contractor turned in the bill for the last 20%. So, I went out to make sure it was completely done. He has one pile of trees that he hasn't removed yet. There's a few logs and stuff that the first contractor cut up in real small pieces and left. Besides that, it looks really nice. I called and asked him about it and he said whoever lives out there, it's close to their house and they didn't want him to burn the pile of trees and bury it. So, he has to haul it off. He said he'd be doing it today when the grounds frozen. Do I think it’s done? No. I feel like it's going to be done by the end of the week. It's the board's decision on that last 20% what they want to do. Mr. Hamilton stated if the work isn't complete. I don't feel like we should approve the maintenance claim. I have a question about the Schwieterman claim. Does Schwieterman have his W9 and insurance? Mr. Borchers stated yes. Mr. Hamilton, did you assign this work to him? Mr. Borchers, no. When I got on the phone with Schwieterman and Brian Winner, I asked, "Do you want me to send a contractor out there to fix the three sink holes?" They said, "Yes." I said, "Okay. They've got a lot of work on their plate, but I'll get them out there." Then he called me a week ago, 7 o'clock at night, and said that he fixed them. Mr. Winner told him to go ahead and fix them, and he was going to submit a claim. I said, "That's not really how we do things." I said, "How much is the claim?" He told me and I thought it was a decent price. Probably what we would have paid a contractor to do those three sinkholes anyways. So, I told him to send it through. He did do a good job. It looks like it's flowing and obviously, they do good work. It’s a reputable company. This wasn't something that was approved ahead of time. It was just something that he did. Mr. Hamilton stated I think in this case we can approve the work, but I would like to make sure that we don't make a practice of this in the future. Mr. Christy, is our drain the 18” or the 15”? Mr. Borchers, It's both. It's 18 inches at the top of the north side of the field and 15 inches at the south. There's a sink hole in both areas.

Mr. Whitehead entertained a motion for approval of maintenance claims as presented. Mr. Hamilton moved for approval with the exception of the JJC claim for the Racer Ditch. Motion seconded by Mr. Christy. Motion passed 4-0.
