6.10.3.1
PTO hours may be used in minimum units of two (2) hour increments anytime during the calendar year in which they accrue and upon approval of the immediate supervisor. The balance of the PTO hours in excess of One Hundred Ninety-Five (195) hours, if not used, are lost and are not paid out at the end of the year. No employee may carry over more than One Hundred Ninety-Five (195) PTO hours (including carryover) from year to year. Employees that have worked for Delaware County for more than fifteen (15) years and are resigning or retiring only shall be permitted to be paid a total of one-half (1/2) of their carried over PTO hours that are unused at the time of their departure. Employees must use all current PTO before they are eligible to receive one-half (1/2) of their carried over PTO. Those employees that are terminated, forced to resign, retire in lieu of termination, or are part of a reduction in force, shall not be paid for any unused accumulated (carryover) PTO time.
6.10.3.2
An employee requesting PTO leave shall inform his or her supervisor as soon as possible but no later than one (1) hour prior to the commencement of their scheduled work shift in the case of an emergency or illness. An employee is subject to disciple if no notification is given.
In the event of non-illness related PTO, an employee must give a seventy-two (72) hour advance request, in writing, to take PTO. It is the sole discretion of the Department Head whether to grant a PTO request. An employee is subject to discipline if less than a seventy-two (72) hour request is made.
6.10.3.3
PTO time is not earned while an employee is in a non-paid leave status (i.e. sabbatical, non-work-related time off, leave of absence not related to work, disciplinary suspensions, disability leave under short- or long-term disability provided by the County's insurance plan, or Family Medical Leave).
6.10.3.3.1
If an employee has exhausted all PTO, accumulated (carryover) time, sick, and vacation time, the employee, at the Department Head's discretion, is eligible for a maximum of five (5) days per year of unpaid leave for emergencies only. The employee must provide documentation to the Department Head and Human Resources, verifying the emergency. The employee is still subject to disciplinary action pursuant to Section 4: Disciplinary Action and Problem Resolution in this Handbook. The employee is subject to termination if absence continues.
